Personal Data Held, Reasons and for How Long
Microsys Solutions Ltd is the data controller for any personal data you provide us with.
The information you provide will only be used to communicate with you and to allow us to provide services requested by you or the organisation you work for.
If you are a designated contact for your organisation or have requested that we add you to our mailing list, we will occasionally send you information by email which we believe is important or of interest to you or your organisation.
Personal data can be stored for the period that we supply services to the individual or the organisation that the individual works for. If we cease to provide services to the individual or organisation, data will then be deleted in line with our data retention policy.
We record incoming and outgoing telephone calls and these are stored for up to 2 months. These recordings will only be accessed by authorised Microsys staff for the purposes of training or clarification, to allow us to deliver our services to the highest standards.
We will endeavour to hold this information securely.
Lawful Basis for Processing Personal Data
In most cases the lawful basis for processing personal data is ‘contract’ in that Microsys will have a contract with the organisation that the individual works for.
On occasion, Microsys provides services to individuals or organisations where there is no formal contract in place and in these cases the lawful basis will be ‘legitimate interests’ as the processing of the personal data will be needed to provide a product, service or information requested by the individual.
Access to personal information
Microsys Solutions Ltd will give people access to their own personal information upon request. Individuals can find out if we hold any personal information by making a ‘subject access request’ under the Data Protection Act. If we do hold information about you we will:
- give you a description of it;
- tell you why we are holding it;
- let you have a copy of the information in a format that you can use
To make a request you need to put the request in writing to the Microsys Solutions Ltd, 5 Grange Road, Edinburgh EH9 1UH
If we do hold information about you, you can ask us to correct any mistakes or have the information removed if you believe it there is no longer a requirement for us to hold it, by contacting us at the same address.
Disclosure of personal information to 3rd parties
Microsys Solutions Ltd does not pass personal data to 3rd parties unless the individual has explicitly agreed to it.
Typically this would happen if the individual or the organisation they work for has requested a product or service via Microsys that will be provided by a 3rd party and the 3rd party needs the individuals details to be able to deliver this product or service.
